01Who we are and what this policy covers
Vonoip Systems, LLC D.B.A. telgo.io (“TELGO,” “we,” “us,” or “our”) provides business communications services and operates telgo.io. This Privacy Policy describes how we handle personal information in connection with our website, accounts, customer support, and communications features.
If you call or message a business that uses TELGO, that business also determines how it uses your information. Its privacy notice and account settings may apply alongside this policy. For communications we process on a business customer’s behalf, we act according to its instructions and applicable agreements. We also handle information for our own account administration, security, billing, and legal obligations.
02Information we collect
- Account and contact information: names, business details, email addresses, telephone numbers, account identifiers, administrator roles, and information supplied during signup or support.
- Communications information: calling and called numbers, call times, duration, routing, delivery status, voicemail, and messages. Audio, transcripts, summaries, and AI conversation content are processed when the relevant features are used.
- Configuration and directory information: extensions, greetings, contacts, routing preferences, connected-service identifiers, and permissions configured by an account administrator.
- Technical information: IP addresses, browser or device information, authentication events, website requests, and diagnostic or security logs.
- Billing information: purchased services, usage, invoices, payment status, and transaction information when paid services are used.
Information comes from you, your organization, people communicating through the service, connected services you authorize, and providers that help route and deliver communications. A caller’s information may be processed even if the caller does not have a TELGO account.
03How we use information
We use information to create and administer accounts; authenticate users; route calls and messages; deliver voicemail and notifications; provide requested AI and transcription features; respond to support requests; measure usage and bill for services; troubleshoot problems; detect fraud and abuse; and meet legal obligations.
We also use service diagnostics to understand reliability and improve the operation of TELGO. Where a use requires consent or another specific permission, that permission must be obtained before the use occurs. Service notifications, such as invitations and security messages, are distinct from optional promotional communications.
04AI, recordings, transcripts, and memory
AI features may process live audio, recorded audio, transcripts, caller information, and the context needed to answer or route a request. This processing may involve external speech, transcription, language-model, and hosting providers. AI-generated transcripts, summaries, and responses can be inaccurate.
When an account enables optional conversation memory, selected information from conversations may be stored and retrieved in later interactions under that feature’s configuration and applicable notices. Turning memory off does not by itself remove voicemail, call records, transcripts, or information retained for other purposes.
Account administrators are responsible for configuring these features and providing required notices and permissions to employees and callers. Using an AI feature is not blanket permission to share conversation memory across unrelated customer accounts. Cross-account sharing or biometric voice identification requires separate review, appropriate notice, and any legally required consent.
Ask the business you are contacting which features it uses and whether an alternative communication method is available. You can also contact TELGO with questions about processing by TELGO or its providers.
06SMS/MMS information and consent
When you enroll in or use a text-messaging program, we process your mobile number, message content, message timing and delivery information, and records of opt-in, opt-out, and support requests. We use this information to deliver the program, maintain your choices, resolve delivery issues, and document compliance.
We do not sell, rent, or share mobile information with third parties or affiliates for their marketing or promotional purposes. Text-messaging opt-in records and consent are not sold or shared for another party’s marketing or used to enroll you in another sender’s program.
Messaging providers, carriers, and other service providers may receive the information needed to deliver messages, manage suppression, and support compliance on our behalf. These operational disclosures do not authorize those recipients to use your consent for their own marketing. Disclosure may also be required by law. These specific restrictions apply to mobile opt-in and consent information notwithstanding the general sharing provisions above.
Reply STOP to the sending number to opt out, or HELP for assistance. You may also call 855-978-3546. We may retain suppression and consent records to honor your choices and comply with applicable requirements. See our SMS Terms for program details.
If a customer business sends you messages using TELGO, that business is the sender and must obtain its own consent and provide its own privacy notice. Permission to receive messages from one business does not authorize unrelated businesses or TELGO to send you promotions.
08Retention and deletion
Retention depends on the type of information, the feature being used, account configuration, contractual requirements, and legal obligations. Relevant considerations include providing ongoing service, supporting billing and disputes, investigating abuse, and maintaining required records.
Deleting an account or turning off a feature does not necessarily erase every associated record immediately. Information may remain in backups or records that must be retained for legal, security, or accounting purposes. Copies already delivered to recipients or exported to connected services are subject to those recipients’ handling. Contact us for retention and deletion information applicable to your account or request.
09Security and processing locations
We use administrative and technical measures intended to protect information, including access controls and authentication. No system can guarantee absolute security. Protect your credentials and promptly report suspected unauthorized access.
TELGO and its providers may process information in the United States and other locations where they operate. Applicable contractual and legal safeguards are required where processing involves regulated international transfers. Contact us if your organization has location-specific processing requirements before submitting data.
10Your choices and privacy requests
Depending on your location and the applicable law, you may have rights to access, correct, delete, or receive a copy of your personal information, withdraw consent, or object to or restrict certain processing. Rights, exceptions, and verification requirements vary.
Contact TELGO using the details below to make a request. Identify your relationship to TELGO and the information or account involved, but do not provide passwords or full payment-card details. We may need to verify your identity or authority. Where we process information on a business customer’s behalf, we may refer your request to that business or assist it in responding.
Where applicable, you may use an authorized representative, appeal a denied request, or contact the relevant privacy regulator. We will not unlawfully discriminate against you for exercising a privacy right.
11Children
TELGO’s website and account registration are intended for business users, not children under 13. Do not create an account for a child under 13. If you believe a child’s information was provided improperly, contact us. Business customers remain responsible for any additional requirements that apply when their communications involve children.
12Changes to this policy
We may update this policy as our services or practices change. The date above identifies the latest revision. Material changes will be communicated through an appropriate notice, and additional consent will be obtained when required. A policy update does not retroactively authorize a use of previously collected information where additional permission is required.
